Job Summary
We are seeking a highly organised, proactive, and discreet Executive Assistant to support the Director. This role goes beyond traditional administrative duties, serving as a trusted partner who helps manage priorities, coordinate operations across the property portfolio, and ensure the Director remains focused on strategic oversight and long-term growth. The ideal candidate thrives in a fast-paced environment, anticipates needs, and can manage multiple priorities with minimal supervision while maintaining a high level of professionalism and discretion.
Key Responsibilities
Executive & Administrative Support
● Manage the Director’s calendar, including scheduling meetings, travel, and key engagements
● Act as a gatekeeper for emails, messages, and meeting requests, prioritising urgent matters
● Prepare agendas, briefing notes, presentations, and meeting materials
● Take accurate meeting notes and track action items to completion
Operational & Strategic Support
● Support project coordination, internal initiatives, and cross-team communication
● Prepare reports, presentations, and documents for stakeholders
● Establish and maintain systems and processes to improve efficiency
● Conduct research and compile insights to support decision-making
● Assist with coordination across the property portfolio, including tracking operational issues, maintenance requests, and contractor follow-ups
● Support property operations by coordinating communication between tenants, contractors, facility managers, and the Director
Communication & Stakeholder Management
● Serve as a key point of contact between the Director and internal/external stakeholders
● Draft and review professional correspondence
● Ensure timely follow-ups and clear communication across teams
Confidentiality & Records Management
● Handle sensitive information with a high level of discretion
● Maintain organised digital records and document management systems
● Keep accurate records of tenancy agreements, property documents, and operational files
Requirements
● Experience as an Executive Assistant, or in a similar role supporting senior leadership
● Proven ability to manage complex priorities and multiple stakeholders
● Strong organisational, time management, and problem-solving skills
● Excellent written and verbal communication skills
● High level of discretion, professionalism, and sound judgment
● Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
● Comfortable using project management and collaboration tools
● Tech-savvy, with the ability to quickly adopt new tools, including AI productivity tools
● Proactive, detail-oriented, and able to work independently while collaborating effectively
